This Privacy Policy (“privacy policy”) explains what information The Writing Element (“The Writing Element”, “we”, “us”, or “our”) records about you, how we use, share, and protect it.

This privacy policy applies to our online clients and visitors who visit and/or use our website which can be found at (“website”). By visiting and/or using our website, you agree to all the contents of this privacy policy, which is also a part of our Terms and Conditions. This privacy policy is not applicable to any information collected by third parties, and we advise you to read their respective privacy policies for information on how they handle your data.

1. Information we collect

1.1 Information we collect from you automatically

For visitors (including clients) to our website, we automatically collect the following personal information:

  • current location - the state, city and/or country you were when you accessed our website (e.g. Hefei, China)

  • type of device – mobile or desktop

  • website navigation and usage – for example, how long you stayed on our website and which pages you visited

  • browser type – this is only applicable if you searched for and accessed our website using a search engine 

  • Internet Protocol (IP) address – we do not collect your IP address; however, we are hosted on Wix (found here which may record your IP address to provide us with your current location at the time you accessed our website

  • purchase history with The Writing Element


1.2 Information you provide us with

We may receive personal information about you, such as your first name, last name, email address and phone number when you:

  • request a quote by submitting the form provided here on our website and we receive that submission

  • book a consultation using the booking form on our website and we receive that submission

  • contact us by submitting the contact form on our website and we receive that submission

  • contact us via email and we receive that email

  • contact us via live chat and we receive your message

  • register for an account and update your account information


1.3 Information we receive from third parties

We use PayPal to process all payment transactions. You will provide PayPal directly with your debit/credit card information or PayPal account information to make payments, so we can fulfil your order. Therefore, we strongly advise you to review PayPal's privacy policy which governs any information that you submit to them to make a payment. 

Please note that we do not have access to your debit/credit card information. However, we may see your PayPal account name and username if you use your PayPal account to make a payment to us.


1.4 Sensitive information 

We urge you not to include any sensitive information in any communication with us. Sensitive information includes but is not limited to:

  • credit card information

  • passwords

  • national identification details (e.g. passports, social security numbers, permanent resident cards, birth certificates, etc)

  • information related to insider trading

  • medical data

  • classified government documents

  • biometric data


If you believe that you have sent any sensitive information to us in error, please email us at and we will promptly delete it. If we notice that you have shared any sensitive information with us, we will advise you via email or live chat, and delete it promptly. However, depending on the type of sensitive information, we reserve the right to discontinue working with you if you are a present or prospective client in order to protect the integrity of our brand.


1.5 Cookies and web beacons

We use cookies and web beacons to identify you when you visit and use our website to provide all the functionalities needed for you to have the best user experience. You can reject these cookies or change the cookie settings located on our cookie banner when you access our website. Depending on your web browser settings, your web browser may accept or reject these cookies by default. 

1.6 Children under the age of 16

We firmly believe in protecting the privacy of children. Therefore, we do not knowingly collect and solicit any information from children under the age of sixteen and/or enter into any agreement related to the use of our services with any child under that age. If you believe that your child has provided us with any personal information online without your consent, we encourage you to contact us immediately by using the contact form on our website or by emailing us at We will remove the information provided to us by your child, disable any account they have with us and terminate any on-going contract they have with us for any of our services. 

2. How we use your information

We may use your personal information for the following:

  • To provide access to our website and enable the functionalities needed to ensure that you have the best user experience

  • To send you emails necessary to provide one of our services that you have requested

  • To complete your request to book a consultation

  • To approve the creation of your account with us which enables you to log in, book a consultation and make payments

  • To give updates about our operations, policies, services, features, products, and special offerings. If you wish to stop receiving this type of communication, please email us or click the “unsubscribe” link located at the bottom of emails from us containing the aforementioned updates

  • To provide customer service

  • To improve and expand our business by gathering statistics on which page has the most traffic, frequently used services, the geographic region where most of our clients are located, and the number of persons who contact us

  • To review and action feedback from clients

  • Detect and prevent fraud and abuse


We may use your personal information for other purposes if you grant us permission to do so. For example, if you send us a testimonial and we publish it, your name may appear on our website. 

3. Information we share about you

3.1 Facilitating consultations

We use Google Meet to facilitate all consultations you book with us. This will involve us inputting your name and email address to send you the meeting invite for the consultation. Please review Google Meet's privacy policy before proceeding with booking a consultation. 

3.2 Legal

We may also share information about you with or without your permission if:

  • we are legally required by law, subpoena, court order, search warrant, or any other applicable legal procedures

  • we believe disclosing it is necessary to protect you, our users and clients, owners and employees of The Writing Element, and members of the public from any harm

  • we need it to file legal action against you or someone who has or is planning to violate our Terms and Conditions, which in this case, we will inform you of such action


3.3 Third parties for business functions

We may share information about you to third parties that assist us with billing, email services, customer service, email marketing, website maintenance, facilitating consultations (refer to 3.1) and any other function necessary to provide our services.

3.4 Other purposes

We may share information about you if you have given us permission to do so for a particular purpose. For example, if we design a flyer for your business, you can request for us to share the flyer, your name and business on our social media accounts. 

4. How long we keep information about you

The Writing Element will retain information about you such as your name, email address and details of the service(s) we provided to you, as needed for accounting, auditing and legal purposes. We may also retain your information for future reference which is helpful if you are returning client. 

5. How we store and protect your data

5.1 Data storage

Our website is hosted on Wix as previously stated in 1.1. Therefore, some of your data may be stored on their servers and we encourage you to review their privacy policy to see how and where they store your data. 

5.2 Protection

We use SSL (Secure Socket Layer) to encrypt your data, for example, when you create an account on our website. You are required to create a strong password for your account and it is your responsibility to keep your account information (including password) safe. Despite all the safety measures and recommendations, be reminded that the internet is not 100% secure. Therefore, The Writing Element cannot guarantee that any information that you provide to us will not be accessed, stolen, shared, deleted or tampered with by unauthorized parties.

5.3 Third party sites

Please note that we are not responsible for the links on our website that direct to third party sites including social media sites. Therefore, we are not liable for any damages or loss incurred by you when you click on third party links on our website.

6. Breach of information

If we suspect or detect any breach of your personal information that you provided to us, we will investigate and where applicable, inform you of this event, guided by the applicable rules and regulations.

7. Your rights 

7.1 Your account information

If your account creation has been approved by us, you can make changes to your account information by signing into your account and going to "Settings". 

7.2 Opting out of communication

You can request to stop receiving blog post updates, marketing and promotional emails from us by clicking the "unsubscribe" link at the bottom of the email sent to you. However, you cannot opt out of service-related communications that may contain:

  • reminders about quotes, invoices, payments and consultations

  • changes to our services

  • responses to any query you may have submitted to us via email, live chat, consultation, or contact form submission on our website

  • account creation approval and/or verification

7.3 Data collection

Whenever you access our website, a cookie banner will be displayed at the bottom of your device which outlines why we use cookies, a link to this privacy policy and an option to view the cookie settings where you can choose which non-essential cookies can be enabled. Depending on your type of device and browser, you may be able to disable or delete all cookies from The Writing Element. 

7.4 Data modification and deletion

Based on how you utilize our website and/or services, you have the right to access, update or have your information deleted by contacting us via the contact form on our website or email us at We will also contact Wix to delete any personal information they may have also processed and stored about you but we cannot guarantee that Wix will do so.


You can also request a copy of any personal information we have about you. We may ask you a few questions to confirm your identity before carrying out any request regarding your information to keep our commitment to protecting any information you had shared with us.

For California, United States residents, please review any additional information about your rights covered in the California Consumer Privacy Act (CPPA).

Please note that we do not sell the data of our users.

8. Changes to this privacy policy

The Writing Element reserves the right to review, modify and publish changes to our privacy policy. We will also state the date these changes take effect at the top our our privacy policy. Therefore, we encourage you to review our privacy policy often to become aware of any changes.
